The difference between venue coordinator and day of coordinator


We have heard this misconception so many times; that your venue coordinator is your day of coordinator. Unfortunately, this is not true. Trust us, we love our venue coordinators. They help us so much for your wedding. They offer tons of advice, assisting with suggestions on the flow of your day and essentially being an expert in the space and informing you what works best. Many times, they are your first point of contact when planning a wedding on how everything works (if you don’t hire a full service planner beforehand to find the space and date.)  But ultimately, their job is to ensure that the venue is operating accordingly to hold your wedding or event. Now, some venues DO offer day-of coordination services so just be sure to ask about the difference.

 

When hiring a “day-of” coordinator, they are there for you, your fiancé and your day. Their number one job is to run it smoothly, help bring your vision to life, communicate with your team of vendors and stick to the timeline you build together; at the very least. There are so many different coordinators and involvement levels as well of course that can help you with so much more.

 

There is also another misconception about “day-of” coordinators. Technically, they don’t really exist.  80% is preplanning prior to the wedding day, the other 20% is execution. Anyone that may advertise as such, I would be weary of.

 

 

 

Below are some differences between the two coordinators:

 

Venue Coordinator 

  • Works for the venue 

  • Expert in the venue (noise ordinances, rules, decor restrictions, sound parking, alcohol liability, etc) 

  • Provide you information about preferred vendors they suggest

  • Processing the contract and payment schedule 

  • Overall timing of the day

  • If food and beverage is included in your venue rental, helps with food selections, choices in bar packages, etc.

 

Day of Coordinator 

  • Works for you! 

  • Liaison between venue and all vendors 

  • Vendor management – takes over all communication

  • Organization of the extensive timeline

  • Assists and attends 30 day final walkthrough

  • Multiple meetings prior to the day to understand exactly what is supposed to happen on the day 

  • Floorplan/Seating Chart 

  • Lead rehearsal before the wedding 

  • Design assistance – sets our all your DIY on the day of your wedding

  • Is there from 2/3 hours prior until 1 hour after the event
